These safety tips should be added to your weekly laptop maintenance routine and will help you stay productive and safe no matter where you are working.
Shut It Down:
Unlike a desktop computer a laptop computer needs to be shut down when not in use. Shutting down when not in use prevents the laptop from overheating and it also needs the rest.
Adjusting Power Settings:
Adjusting your power options will help your laptop from heating up when not in use even if for short periods of time. You can set your hard drive and display to turn off after a set time period. Another option is to set the laptop to go into standby or hibernate mode.
Before You Pack It Up:
Make sure that you before put your laptop into its carrying bag that it is shut down. A notebook that has been left on can melt. When enclosed in a notebook bag there is no air circulation and the results can be worse than melting. Don't find out the hard way and just be sure to turn off your laptop.
Checking the Fan:
Overheating problems can be caused by the laptop fan not working properly. Always check the laptop manufacturer's online support and your warranty information. It may be possible to download software to test your laptop fan.
Avoid Lap Burn:
Using a laptop desk or cooler will prevent you from being burned when using your laptop. A good laptop desk will have large enough vents for allowing air circulation between you and the laptop. Some laptop desks have additional fans which use power from the laptop itself to stay cool. Use laptop as shown in image.
Soft Spots:
It's a wise idea not to use any soft material as a buffer between you and your laptop. Always operate your laptop on a hard surface, preferably one that allows ventilation. Soft materials like pillow, bed surface can block the airflow vents and cause it to overheat. If it is not possible to avoid using a soft surface, an optional heat sink base should be used to maintain cooling.
Unplug Accessories:
Whenever your laptop will not be in use, even for short periods of time remember to unplug any accessories. Not only do they use power but they could cause the laptop to overheat. It's especially important to unplug any accessories before packing your laptop in its carrying case. While you may believe it will make it quicker to use, it could damage your laptop.
Asset Tag or Engrave the laptop:
Permanently marking (or engraving) the outer case of the laptop with your company name, address, and phone number may greatly increase your odds of getting it returned to you if you happen to carelessly leave it in a hotel room. There are also a number of metal tamper resistant commercial asset tags available that could help the police return your hardware if it is recovered. According to the report, 97% of unmarked computers are never recovered. Clearly marking your laptops deters casual thieves and may prevent it from simply being resold over the internet via an online auction.
Get a cable lock and use it:
Over 80% of the laptops on the market are equipped with a Universal Security Slot (USS) that allows them to be attached to a cable lock or laptop alarm. While this may not stop determined hotel thieves with bolt cutters, it will effectively deter casual thieves who may take advantage of you while you're sleeping in an airport lobby, leaving a table to go the bathroom, etc., Most of These devices are between $30 - $50 and can be found at office supply stores or online. In addition to the quality of the cable, consider the quality of the lock. (Tubular locks are preferable to the common tumbler lock design) And remember: They only work if you use them properly. Tether them to a strong immovable and unbreakable object
Backup your data before you leave:
Many companies have learned the hard way that the data on your computer is more expensive to replace than the hardware. Always backup you laptop before you do any extended traveling that may put your data at risk. This doesn't have to take a lot of time, and you can use the built in backup utilities that come with Windows 2000/XP/Vista. If your network doesn't have the disk space to backup all of your traveling laptop users, you may wish to look into some of personal backup solutions including external hard drives, CD-R's, and tape back
Laptop Insurance:
Insuring of laptops falls into three areas. The most likely scenario is that a laptop is the property of a company and thereby is self-insured. This means if it is stolen, the company pays for it out of its budget and the loss is not reported to an insurance company.
The second most common type of insurance would be an employee who has a laptop cover under his or her own personal insurance. The insuring of computers may or may not be covered under your homeowners insurance and it is highly encouraged that owners of laptops contact their primary insurance company. Most of the time computers is not coverage by homeowners or the coverage is minimal.
The third type of insurance would be Third party insurance. This insurance is issued by a company that primary provides coverage for laptops and related items. No place is safe:
Never assume that your laptop will be safe just sitting around. Treat as if it were $5,000 in cash lying around, and lock it down using a cable lock or secure docking station. X Company CEO has his laptop stolen from him during a news conference while he was standing no more than 30 feet from it. A State department employee had his stolen from a conference room and lost his job. Despite a $25,000 reward it was never returned. Never assume that your laptop is safe.
Vulnerable Locations:
Although the theft of a laptop computer can occur at any place or time, there are certain obvious locations-- company offices, airports, hotels and conference centers, college campuses, libraries and hospitals -- where incidents occur most frequently. So it obviously pays to pay particular attention to your machine at these locations. In places such as hospitals and libraries, laptops are stolen by people who either have or appear to have a legitimate reason for being there. This may include contractors, service persons, custodians, delivery persons or even vendors.
Additional tips to avoid laptop theft:
Would you leave a bag filled with $3,000 in cash sitting in your car or alone in your hotel room? Of course not. Don't take your eyes off your laptop:
Remember, most laptop thefts occur at hotels, airports, or while in the rental car. Criminals don't have to rob you with a gun for your laptop; they just have to wait for you to set it down when you make a call at the airport phone booth. If you do set it down, make sure it is directly in front of you - not to the left, right, or behind you. It just takes a second for a thief to make off with it.
